Salary: FT £24,000-£26,000 pa (PT 4 days a week will be considered)
Close Air Solutions design and produce: software, hardware, training scenarios, and also facilitate training for defence and security personnel. We aim to exercise trainees without the sterile aspects of peace-time training constraints such that trainees can see the direct consequences of their decisions, in representative situations. CAS believe and sincerely hope that this training leads to better decision making in high stress combat situations.
We are looking for an experienced, enthusiastic and self-motivated individual to join our administration team to fill the position of Finance Assistant. We are a small but growing company and as such this is a varied role, incorporating not only finance but HR and Quality Management as well. It will suit someone who enjoys the variety of work and a fast pace in an ever-changing environment.
Key responsibilities include but are not limited to:
Assisting the Operations Coordinator with daily maintenance of financial systems:
• Purchase supplies and equipment as authorised by management
• Process and pay supplier invoices in a timely manner
• Issue quotes and invoices to customers
• Correctly code purchases within Receipt Bank and publish to Xero
• Issue reminders to debtors
• Reconciliation of bank, credit card, FX and paypal accounts to Xero
• Maintenance of petty cash
• Assist with month end tasks – Advanced level excel spreadsheet
• Assist with VAT returns
• Weekly update of the Company Cashflow Model – Advanced level excel spreadsheet
• Investigate finance related queries
• Maintain an orderly accounting filing system
• Monitoring Accounts/Info/Admin inboxes to ensure all invoices captured and processed
Assisting the Operations Coordinator with the Quality Management System (ISO9001:2015) and maintenance of company documentation:
• Regular review of quality forms to ensure up to date, including version log
• Regular review of company policy and procedures
• Taking an active role in internal and external audits
• Ensure company compliance
Assisting the Operations Coordinator with HR responsibilities, including:
• Maintenance of HR Online employee records
• Assist with on-boarding and leaver processes
• Regular review of holiday and absence records
Provide cover to the Operations Assistant with the daily running of the office including:
• Ensuring post is collected from the desk or mailbox
• Maintain the received items register and update the asset register as required
• Post is logged within our system and processed correctly
• Filing of documentation that CAS are required to maintain
• Answering and directing incoming telephone calls
Local and deployed event/service/product delivery management:
• Meeting room booking for local meetings and conferences on-site including passes.
• Worldwide Travel, accommodation, and logistics, booking and management for deployed events including preparation of travel briefs
• Arranging security clearances, bookings and travel onto military bases.
• Liaison with company marketing representatives ensuring integration with larger event administration tasks
Supporting the Project Managers with:
• Project administration
• Other project tasks as required.
Desirable Skills/Qualifications: Finance Experience with Accountancy Software Skills (Xero Software Experience Preferred but not Essential), Self Discipline, Initiative, Self-Quality-Assurance, Honesty, Multi-Tasking, Task Management, Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Google Suite, Organisation, Analysing Information, Professionalism, Problem Solving, Inventory Control, Verbal Communication.
As a large part of the role includes maintenance of advanced level excel spreadsheets, it is vital that all applicants have good excel skills. Training will of course be provided, but a sound knowledge base of advanced excel is required.
